Job Title:  Administrative Assistant, HMC Projects

Responsible to:  Deputy Director of HMC Projects

Salary:  £6,000

Hours:  7 hours per week, flexible

Work is principally from home (online), but the appointee needs to be able to meet in or near Barnstaple for face-to-face training or meetings.

Contract:  Permanent. Commencing 1st September 2026.

Summary of the role: 

To provide administrative assistance to the Director and Deputy Director of HMC Projects and support the charity's digital marketing and alumni network activities.

About HMC Projects:

HMC Projects in Central & Eastern Europe – usually shortened to HMC Projects – is a charitable trust which organises scholarship programmes targeted at talented young people from non-affluent backgrounds in central and eastern European countries, so that they can come to study in the 6th Form in UK boarding schools.

HMC Projects aims to identify very able, interesting and distinctively different young people, who in turn bring an enormous amount to the schools which host them. Student quality and philanthropy (on the part of the host schools) along with a commitment to the countries of central and Eastern Europe lie at the heart of the programmes, which foster bonds of understanding and friendship between young people across Europe. 

Since it all began in 1992, well over 2000 young people have won scholarships and come on the programme. There are two scholarship programmes for students who join the Lower 6th and come for the two-year A Level/IB/Highers. There are currently 135 HMC Projects scholars in Years 12 & 13 at schools in the UK. They have come from 13 countries in all: Albania, Armenia, Bosnia-Herzegovina, Bulgaria, Czech Republic, Georgia, Latvia, Moldova, Montenegro, North Macedonia, Romania, Serbia, Slovakia and Ukraine.

Main duties & responsibilities:

  • Assist the Director with administrative tasks (e.g. email messaging via mail merge and data management).
  • Assist the Director by researching and collating data on HMC Projects alumni (e.g. using LinkedIn to find current location, occupation, contact details).
  • Post content to HMC Projects Instagram based on stories/material provided by either the Director or Deputy Director.
  • Assist the Deputy Director with administrative tasks relating to the application process within the online application system/database. For example:

Ø  Assigning country codes to applicants

Ø  Sending authentication codes to parent(s)

Ø  Assigning applicants to country coordinators (counsellors)

Ø  Assigning applicants to interviewers (Review in Progress)

  • Assist the Deputy Director with administration of the Password maths assessment (e.g. enter and distribute test codes, check on missing test results).
  • Assist the Deputy Director with the distribution of documents across SharePoint folders. For example, replicating the same file across multiple shared folders.
  • Develop an understanding of the MIS structure and processes to provide understudy support should the Deputy Director become indisposed.

The role is likely to evolve and develop over time, so the above responsibilities are not exhaustive.

Knowledge, Experience and Skills:

Essential Criteria

·       A strong level of IT capability, including a good knowledge of the main Microsoft software packages and platforms, particularly Word and Excel, OneDrive and SharePoint.

·       A capacity to work alone.

Desirable Criteria

·       Experience of working in a school setting in either a teaching or administrative capacity.

·       Experience in using a school MIS or similar.

·       Working knowledge of Instagram and LinkedIn.

Personal Qualities:

·       A sense of vocation in pursuit of the objectives of the charity.

·       A sense of discretion and respect for confidentiality.

The Interview

The interview will be held in or near Barnstaple. Interviewees will be expected to perform a practical task(s) to demonstrate their IT capabilities as part of the selection process. Interview date: 7th or 8th July 2026

Appointees will be subject to a basic DBS check.
